AI Meeting Notes: A Practical Guide for UK Teams

AI meeting notes promise to end the scramble to write up what was decided. Used well, they give every meeting a searchable record of decisions and actions without anyone taking minutes by hand. Used carelessly, they create a pile of transcripts nobody reads and a privacy question nobody asked.

This guide explains what AI meeting notes are, how to use them well, and what UK teams need to think about before they switch them on.

What AI meeting notes are

An AI meeting notes tool listens to a meeting, turns the speech into text, and then summarises that text into something useful. The good ones go further than a transcript: they pull out the decisions made, the actions agreed and who owns each one.

Many teams already have the first step. In Microsoft Teams, you can start live transcription during a meeting, and the transcript appears in real time with each speaker's name and a time stamp.

Key PointA transcript records everything that was said. Meeting notes record what matters: decisions, owners and dates. The value of an AI tool is in that second step.

The tool does the capture. You still decide what good looks like. These habits make the difference:

  • Agree the format once. Decide what every summary should contain, such as attendees, decisions, actions with owners and due dates, and open questions.
  • Name owners out loud. "Sarah will send the revised quote by Friday" gives the tool a clear action. "Someone should look at that" does not.
  • Check before you send. Read the summary for a minute before it goes out. AI can mishear names, numbers and technical terms.
  • Store notes where people look. A summary nobody can find has no effect. Put it where the team already works.

If you still write minutes by hand, our guide on how to write meeting minutes covers the structure that AI summaries should follow too.

Pro TipAsk the tool for the actions list first. If the actions are wrong or vague, the meeting probably was too, and that is worth fixing at the next meeting rather than in the notes.

Privacy and UK GDPR

Recording and transcribing a meeting means processing personal data. In the UK, as GOV.UK explains, data protection is governed by the UK GDPR and the Data Protection Act 2018. The ICO's guide to lawful basis explains that you need a valid reason before you process it.

People also have a right to be informed. The ICO says you must tell them, among other things, your purposes for processing their personal data, how long you keep it, and who it will be shared with.

In Teams, meeting organisers can also control who is allowed to record and transcribe a meeting, so set that deliberately rather than leaving it to chance.

Watch OutTell everyone at the start of the meeting that it is being recorded and transcribed, and why. With clients and external guests this matters even more.

Our article on GDPR and meeting recording goes into more detail for UK teams.

Choosing an AI meeting notes tool

Compare tools on what they produce, not just on accuracy. Look at whether summaries separate decisions from discussion, whether actions have owners and dates, where the data is processed and stored, and whether a bot has to join the call.

Keel Notes is our own tool. Keel describes it as an AI notetaker that records, transcribes and turns every meeting into decisions, action items and board-ready summaries, running on self-hosted models so your conversations stay yours. It is listed at £19 per user per month on the Keel home page.

To compare the wider market, read our guides to the best AI note takers in 2026 and AI note takers that work without a bot. When you are ready, start a free Keel trial.
